Point People

Discussion: Secure email will be implemented for all point-people, probably in early January.

AGD.Support@All: @ Viewer28 — Yes, we have encouraged orgs to identify an alternate point-person. I think that in the near future we will even more strongly encourage ALL orgs to identify a second point-person for backup & vacation coverage.

AGD.Support@All: Larger orgs (15 or more users) or those with multiple sites / workplaces may wish to identify additional points to better support the rest of their users.

ASAPs – transition from existing SAMS process to updated AGD process

Lisa Tri-Valley@All: As an ASAP provider-if we set Coastline as the default agency, will we be able to be added as a provider so that we can continue to use the record in SAMS?

AGD.Support@All: ASAPs – you should experiment with agency & provider tags in Field Test. But to Lisa's question, after you create & save the initial MDS-HC for an existing SAMS consumer that does not yet belong to you, then your org is an Assessment Provider, with certain privileges on that consumer. You will have access to that consumer for purpose of File Attachment, Enrollment creation, and Activity & Referral creation.

AGD.Support@All: Also, it's important that the MDS-HC has Assessment Agency set to Coastline.

Lisa Tri-Valley@All: So, by setting the MDS-HC to Coastline and Tri-Valley, we will then be able to continue to access that consumer record for our ongoing care enrollment, journal notes, etc? I’m wondering about the transition from the AGD system to "standard" SAMS. Thanks!

Viewer 33@All: I am an ASAP Provider. If the consumer is an active Home Care client on the waiver, do I still make Coastline the default agency? Wouldn’t that mean that BSHC could not do its normal operations?

AGD.Support@All: @Lisa — Yes, once your MDS is saved, you have access to that consumer record. Saving the assessment makes you "Assessment Provider" to the consumer, which is exactly equivalent to "Consumer Provider" in terms of access to the consumer.

Widgets, Activity & Referral Status

Viewer 20@All: Once the correction is done in the "waiting" widget, is the Coastline notified from there or does the provider need to change the status or move the assessment to "not started”

Viewer 35@All: Does an MDS need to be entered into Harmony on the day of assessment? If not, what is the proper time frame for data entry?

AGD.Support@All: Coastline will only set the A&R status to "Waiting" or "Complete". If Waiting, Coastline signals you that additional action is needed. Once you complete that task or request, you set the A&R status back to "Not Started".

Lisa Tri-Valley@All: Once this goes live, will we access the system through the "AGD" link, or the "SAMS3" link?

AGD.Support@All: Lisa: the AGD process lives in regular SAMS, there is no distinction, and everyone has access to the same database

Clinical: Assessment dates, editability of assessments

Viewer 18@All: Sometimes it does not become clear until the date the nurse meets with consumer that physical exam or office visit are out of date. Do we still have to enter the data within 7 days at that point since we must wait for office visit to occur?

· Discussion: any assessment is editable only for seven (7) calendar days from its creation – after that it is “locked” and read-only. If you must edit a "locked" or read-only assessment, use the [Copy Assessment] function.
